Your members' member portal

The member portal is each member's personal page: schedule and call-ups, membership fees payable online, medical-certificate upload, sport progression, volunteering and club news. No account, no password — a secure personal link, present in every club email, is enough.

What is it?

Every contact in your club has their own member portal. There is nothing to activate: the portal exists as soon as the contact is created, and your emails (call-ups, payment links, equipment) already carry the personal access link. Your members install no app and create no account.

How your members get in

  • From your emails — every call-up, payment link or equipment notification contains a personal "Member portal" link.
  • From the member's record — a "Member portal link" button on the contact page: Paak sends the access email immediately. Ideal when a new family joins.
  • On their own — on your public registration page, the "Already a member?" link lets a member receive their access by entering the email the club knows. For security, the response is identical whether the email is known or not.

The link they receive is single-use and expires after 72 hours; once opened, the session stays active for 30 days on that device. Sensitive operations (contact details, documents, receipts) additionally require a 6-digit code sent by email.

What your members do there

  • Schedule — upcoming sessions, with an attendance reply they can change until the session starts, and a calendar subscription (ICS) for their phone, activated with a button in the schedule; the member can then regenerate it at any time — the old link stops working.
  • Payments — fees due, payable online if your club has enabled online payment (Mollie); when several dues are open (fees, equipment), the "Pay everything" button settles them in a single payment. Printable receipts and attestations. Without online payment, your members see an honest note inviting them to pay the club directly.
  • My club — grades and licences recorded by the club, 12-month attendance, and the news you have sent.
  • Volunteering — the volunteer slots the club has published, claimed or dropped in one tap. See Publish a volunteer slot.
  • Profile — email and phone editable by the member (you are notified); identity stays read-only.
  • Privacy — consents (newsletter, image rights) and GDPR rights, exercisable at any time.

Medical certificates and documents

Document upload is part of Paak One and above. The family uploads the medical certificate directly in their portal (PDF or photo). You find it under Documents in your dashboard: on approval, the expiry date automatically fills the member's medical qualification. A rejection sends the member an explanation. On the free plan, your members instead see a note explaining what online upload would bring them.

Privacy and security

  • Uploaded documents are encrypted before storage, hosted in Europe, and uploading requires the member's explicit consent.
  • Each member only ever sees their own data — never other members'.
  • Minors under 15 have no access of their own: the parent uses the portal.
  • "Log out everywhere" revokes all of the member's sessions in one click.
