Publish a slot
- Management → Volunteers, Slots tab.
- Click the create button at the top of the page.
- Enter the name (required) — the only mandatory field. Examples: "Tournament bar", "Saturday transport", "U13 scoring table".
- Add, if useful, a description, a role (bar, transport, scoring table…), a number of spots, a start and an end.
- Optionally attach the slot to an existing session — a match, a training. This field is optional.
- Tick "This slot supervises minors" only if the person will coach, teach, supervise or transport minors. See Child protection: who is actually covered.
- Publish. The slot appears in your members' portal immediately.
With no spot count, the slot stays open to everyone: it shows no counter and never fills up.
A slot with no session
Most of a club's volunteer needs match no session in the calendar. The tournament bar, putting up the stand, the Saturday drive: none of those is a training or a match.
Simply leave the session field empty. The slot then stands on its own, with its own times. In the slot list it is labelled standalone instead of carrying a session name.
What the member sees
Members open their member portal from the personal link in the club's emails — nothing to create, no password. The Volunteering tab shows two blocks:
- What I signed up for — the slots they already hold.
- Open slots — everything still to fill, with the date, venue, role and remaining spots.
One "Count me in" button is enough. There is no admin pre-step: if the member was not yet declared a volunteer, Paak creates their volunteer record the moment they say yes. You then find them under Management → Volunteers.
On the club side, expand a slot in the Slots tab to see exactly who signed up.
Withdrawals and reopened spots
From "What I signed up for", a member can pull out as long as the slot has not started. The Withdraw button frees the spot, which reappears for other members straight away. This works for a slot attached to a session and for a standalone one alike.
A withdrawal deletes nothing: the signup is marked cancelled and stops occupying a spot. The counter shown to members is recomputed on every load, never frozen.
Edit or delete a slot
On a published slot, only the name, description, spot count and attached session can be changed. Times, role and the "supervises minors" checkbox are shown read-only: they are fixed at creation. If one of them must change, delete the slot and republish it.
Deleting a slot is restricted to Club admin accounts.
