How it works
- Every day in the late morning (Paris time), Paak finds the memberships whose fee is still unpaid — those waiting for their first payment, those partly paid, and those whose payment link expired.
- After a grace period from the membership's creation, the member receives a reminder email. The grace depends on your intensity setting: 21 days on Gentle (the default), 14 on Standard, 7 on Firm.
- While the fee stays unpaid, the reminder repeats — at most every 14 days on Gentle, 7 on Standard, 4 on Firm.
- As soon as the payment is recorded (online or entered manually), the reminders stop. A partial payment does not: the next reminder states the remaining balance.
After a season rollover, invited members who never answered are chased with the same mechanism in an invitation tone rather than a debt tone — the grace runs from the renewal email.
Setting the intensity
- Open Settings → Automations.
- Pick how firm Paak should be: Gentle, Standard or Firm. One dial for every automatic reminder — fees, equipment, pre-debit notices.
- Switch each reminder on or off separately under Which reminders Paak sends. Switching off fee reminders stops every automatic send for the club.
- Need an exact number of days? The Advanced settings card lets you set the grace and the interval in days; those values win over the dial.
Seeing what Paak sends
On the same page, What Paak sends (30 days) shows the current truth:
- Whether the daily check is actually running, and at what time.
- How many emails went out per type, and the total still owed on the memberships being chased.
- For each chased member: which reminder they are on, the remaining balance, and the date of the next automatic reminder.
- How many reminders the next check will send.
Three actions per member: Pause reminders (a 14-day pause you can lift any time), Remind now (one email right away — one per membership per 24 h), and a link to their Communications. Every reminder, automatic or manual, also shows up in What Paak did for you on the dashboard and in the member's activity history.
What the member receives
- An email in your club's identity (logo, and custom colors if your plan includes them), in the club's language.
- The remaining balance — pro-rated, minus payments already recorded —, the season and membership type, in your currency (EUR or CHF).
- A button to their member portal to check their situation and pay online if your club has Mollie connected.
- A deliberately gentle tone: the email mentions the other payment methods your club accepts and notes that a recent payment can take a moment to be recorded.
