Close the season (rollover wizard)

The season rollover wizard (Paak One plan) prepares the next season in one evening instead of three: your teams are kept, age brackets shift forward, renewals are drafted and weekly training slots carry over — you approve, it executes.

How it works

From your season's page, the wizard first shows a numbers preview (teams involved, renewable members, detected weekly slots, expiring qualifications) — nothing changes before you confirm.

Your teams are not recreated. A team lives across seasons: only its birth-year bracket moves forward one notch (U13 stays U13). The wizard then proposes, player by player, the age-group moves for members who no longer fit their team's bracket — you confirm each move, change the destination, or keep the member where they are.

What the wizard does

  • Create the next season with the right dates (keeping your season-naming pattern).
  • Shift team age brackets and apply the moves you confirmed one by one.
  • Draft membership renewals — fees recomputed (family discounts included) or copied as-is, your choice; optionally skip inactive members.
  • Send renewal emails — with an online payment link when Mollie is connected, with your bank details and a unique reference otherwise, or as a plain reminder. Every email also links to the member portal, where the member finds their renewal ready to pay.
  • Recreate weekly training sessions detected in the ending season (with your exclusion periods: holidays, breaks), copying the attached training activities.
  • Carry over recurring events (tournaments, camps) keeping their day of the week.
  • Flag expiring qualifications (medical certificates, licences) and sponsorship contracts up for renewal before the season starts.
  • Regenerate the club's annual planner (AGM, annual report, insurance) for the new season.
  • Notify your coaches by email and send you a summary report of the run.

Running the rollover

  1. Seasons menu → "Prepare next season" (your dashboard also offers it when the current season nears its end).
  2. Tick the actions you want — every action is optional.
  3. Confirm: progress displays live, and a summary lists everything that was created.

Automatic payment chasing — you set the intensity

After the renewal email, Paak can automatically chase members who haven't paid — the same machinery that chases unpaid mid-season fees. You control the pace in Settings → Payments:

  • Turn automatic chasing on or off for the whole club.
  • Grace period before the first chase (default 14 days).
  • Minimum interval between two chases of the same member (default 7 days).

Each chase points to the member portal, where payment happens online (Mollie clubs) or the amount due is displayed (bank-transfer/cash clubs).

FAQ

Can I run the rollover in several passes?
Yes — rerun the wizard with other actions ticked; the rollover history stays available. Generated sessions that members already RSVP'd to (or that carry volunteer slots) are preserved, never overwritten.
Do renewal emails require Mollie?
No — without Mollie, the member receives your payment instructions (IBAN, unique reference) or a plain reminder, depending on your configuration.
What if an up-classed player should stay with their team?
Age brackets are advisory: in the move review, keep the member in their current team — nothing moves without your confirmation.
