Record and approve volunteer hours

After a tournament a club sometimes has forty people to credit. The Hours tab lets you pick the date and the role once, type a figure next to each name, and submit the lot. Approval stays with the club admin.

Batch entry

  1. Management → Volunteers, Hours tab.
  2. Stay on the batch entry view, which opens by default.
  3. Pick the date (today by default) and, if you want, the role shared by the whole entry — "Bar", "Transport"…
  4. Filter the list by name if your club has many active volunteers.
  5. Type the number of hours next to each person who took part. Leave blank for those who did not.
  6. The total updates live. Submit.

Each line creates a separate hour record, attached to the person, the date and the chosen role. Hours arrive pending approval.

Record for one person

For a one-off, open the volunteer's profile from the list and use "Log hours". There you set the date, the number of hours, an optional role and a free-text description ("what did you work on?").

One entry accepts 0.25 h to 24 h. Beyond that, split it across days.

Approve hours

The Pending approval view lists everything not yet approved, with the name, hours, date, role and description. Two ways to clear it:

  • One at a time — the Approve button on the row.
  • In bulk — tick "Select all" or the rows you want, then Approve selected.

A wrong entry can be deleted from the same view.

Approving and deleting are restricted to Club admin accounts. That separation is intentional: several people can record, one category of account signs off.

When hours are waiting, a banner appears at the top of the volunteer list with the pending count and a direct link to this view.

History and totals

The History view shows every entry, filterable by status (approved / pending). The volunteer list shows each person's season hours and all-time total, and the section highlights the season's most engaged volunteers.

Those totals give you the material for the activity report presented at the AGM. Paak does not produce a volunteering tax certificate: what you get is hours, recorded and approved.

FAQ

Do hours fill in automatically from slots?
No. Signing up for a slot and recording hours are two separate acts. A signup states an intention; hours record what actually happened, and the club enters them.
Can a volunteer record their own hours?
No. Entry happens from the club dashboard. The member portal lets someone take and leave a slot, not declare hours.
Can hours be exported?
Not today. Hours are read, filtered and totalled on screen. No dedicated export exists yet.
Does this need a paid plan?
No. Batch entry, approval and history are available on the free plan.
