Manage club equipment

Jerseys, balls, cones, bibs, protective gear… club equipment rarely ends up where it should. Paak gives you a centralized inventory with who has what and in what condition. Available on Paak Pro.

Equipment inventory

  1. From Operations, click Equipment.
  2. Click "Add item".
  3. Fill in:
    • Name (e.g. "Home jersey U13", "FIFA Approved ball").
    • Category (clothing, ball, protective gear, other).
    • Quantity in stock.
    • Condition (new, good, worn, replace).
  4. The item appears in the inventory and can be distributed to members.

Per-member distributions

A distribution assigns part of your stock to a member. Example: "1 home jersey + 1 shorts + 1 pair of socks" to Tom for the season.

  1. Open the inventory, click the relevant item.
  2. Click "Distribute", pick the contact, set the quantity.
  3. Distributed quantity is deducted from available stock automatically.
  4. On each member's profile, the "Equipment" tab lists everything they've received — handy at end-of-season for returns.

Condition and maintenance

  • "To replace" status surfaces on the Equipment dashboard — useful for budgeting next season.
  • A distribution can be returned (item handed back at season end) or marked lost. Returns add back to available stock.

FAQ

Which plan is this on?
Equipment management is a Paak Pro feature. On Paak One or Free you can view the tab but not create items or distributions.
Can I manage PPE (personal protective equipment)?
Yes, declare them with the "protective gear" category. PPE has regulatory tracking requirements (boxing groin/chest guards, combat sport gloves/helmets, etc.) — date each distribution for usage-duration tracking.
Is there an accounting export?
Inventory CSV export available from the Equipment table. Inventory value tracking for nonprofit accounting (fixed assets vs expenses) remains manual — on the roadmap.
