A well-run club proves who can coach, who can referee, who has a current medical certificate. Paak centralizes these qualifications per member and automatically sends reminders before each expiry.
Types of qualifications
Paak distinguishes several broad families:
- Federation diplomas — BPJEPS, DEJEPS (France) or your federation's coaching awards.
- Sports licences — annual federation licence for each member.
- Medical certificates — fitness-to-practice certificates.
- First-aid awards — PSC1, PSE1, PSE2 (France) or equivalent.
- Background checks — for instructors of minors. See the dedicated guide.
- Custom — create your own types from Settings → Qualification types.
Assign a qualification to a member
- Open the contact's profile (Members → [name]).
- Click the "Qualifications" tab.
- Click "Add qualification".
- Pick the type (create a new one if needed), enter the number, obtained date and expiry date.
- Attach a PDF of the diploma or certificate — useful in case of federation or ministry audit.
Expiry tracking
Paak continuously monitors end-of-validity dates:
- Compliance dashboard — overview per type (valid / expiring soon / expired).
- Automatic reminders — emails sent to the person at 30, 14, 7 and 0 days before expiry. Wording adapted to the type (licence renewal vs new medical certificate, etc.).
- Filters — the Members list can be filtered on "expired certificate" or "unrenewed licence" for bulk follow-up.
FAQ
Does Paak issue the certificates?
No. Paak tracks qualifications obtained elsewhere (federation, training body, doctor). It's a traceability tool, not a certification one.
Does an expired qualification block membership?
By default no — the member stays active but appears in the "non-compliant" list. You can configure a per-type block in Settings → Qualification types (useful for mandatory medical certificates in competition).
How do I export for the federation?
For background checks, the SI Honorabilité CSV export is available — see the dedicated guide. For licences, the Members list CSV export includes licence number and validity date.
